Who we are

Seed Education Trust is a charitable trust registered in England and Wales (registered charity 1197443). We are the data controller for the personal information described in this notice. This means we decide why and how it is used.

What information we collect

When you apply for a Seed grant

We email a copy of each grant application to the contact email address supplied. Our grant application form asks for the name of your organisation or project, the name and email address of a contact person, and details of the proposed project: its title, description, intended beneficiaries, expected results, location, timeline, the amount requested and where you heard about us. You also confirm that the project is UK based and within our funding scope and that the information is accurate.

The form runs on our website. When you submit it, your answers are emailed to us and are not stored on the website itself. Before 18 September 2026 we collected applications through a Google Form that asked the same questions. Responses already received through it are held by Seed in that form.

If you are shortlisted or awarded a grant

We may ask for a fuller application, budget information, bank details for payment, a signed grant offer letter, receipts and evidence of spend, and an impact report which may include photographs, attendance figures and a narrative of outcomes. Please do not send us more personal information about beneficiaries than is needed; where photographs show identifiable people you are responsible for having their permission.

When you contact us

We keep the correspondence and the contact details you provide.

When you visit our website

Our hosting provider records technical information such as IP addresses to deliver the site and protect it from abuse. With your consent we use analytics cookies, as explained in Cookies and analytics.

Why we use it and our lawful basis

UK data protection law requires us to have a lawful basis for each use of personal information. Ours are:

Assessing grant applications, contacting you about them and deciding which projects to fund. Lawful basis: our legitimate interests in running a grant programme that meets our charitable objects. We have considered the effect on you and believe this use is what you would expect when you apply.
Managing grants we award, including payments, monitoring progress, and collecting receipts and impact reports. Lawful basis: performance of a contract, the grant offer letter and terms you sign with us.
Keeping accounting and charity records of grants made. Lawful basis: our legal obligations under charity and accounting law.
Understanding how our website is used through analytics. Lawful basis: your consent, which you can withdraw at any time.
Reporting on our impact, for example in our annual report or on this website. We use aggregated figures and organisation names. We only publish quotations or photographs that identify a person with their permission.

We do not use your information for marketing, we do not sell it, and we do not make automated decisions about you.

Your information is seen by our trustees and the people who help us administer grants. We also use these service providers, who act on our instructions:

Google Workspace (Google Cloud EMEA Ltd) for email, documents and spreadsheets. Form submissions arrive in our Google Workspace mailbox.
Google Forms, which holds the applications we received before the on-site form.
Cloudflare (Cloudflare, Inc.) hosts our website, processes form submissions on our behalf and runs the security check on the form.
Google Analytics, only if you accept analytics cookies.

We may also share information where the law requires it, for example with the Charity Commission, HMRC or our auditors or independent examiner, or to protect the charity’s rights.

Where your information is stored

Our providers may store or process information outside the United Kingdom, including in the United States. Where they do, the transfer is covered by safeguards recognised under UK law: UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework, or the International Data Transfer Agreement or Addendum that forms part of our contracts with them. You can ask us for more information about these safeguards.

How long we keep it

We keep personal information only for as long as we need it for the purposes above, and different records are kept for different periods:

Grant and financial records (the funded application, grant agreement, payment records, receipts and impact reports): kept for at least 6 years from the end of the financial year they relate to, because charity law requires us to keep accounting records for that period.
Grant applications that are not funded: deleted 12 months after we tell you our decision, so that we can answer any questions about it in the meantime.
General correspondence: deleted 2 years after the matter it relates to is closed.
Website analytics data: held by Google Analytics for the retention period set on our analytics account, and only where you have consented.

When information is no longer needed we delete it securely.

Your rights

Under UK data protection law you have the right to:

be informed about how we use your information, which this notice does;
access a copy of the personal information we hold about you;
have inaccurate information corrected;
have your information erased in certain circumstances;
restrict how we use your information in certain circumstances;
object to our use of your information where we rely on legitimate interests;
receive information you gave us in a portable format where we rely on consent or a contract;
withdraw consent at any time where we rely on it, without affecting anything done before you withdrew it.

To exercise any of these rights, contact us. We will respond within one month. There is normally no charge.

Cookies and analytics

Our website uses:

Analytics cookies (Google Analytics), set only if you choose “Accept” on the cookie banner. They help us see how many people visit, which pages they read and whether visitors who arrive from our campaigns go on to apply. Google Analytics sets cookies named _ga and _ga_*, which last up to 2 years. You can change your choice at any time using the “Cookie settings” link in the footer, or by clearing cookies in your browser.
Strictly necessary storage. We record your cookie choice in your browser’s local storage so we do not ask again. Cloudflare may set a short-lived cookie when you complete the security check on the grant application or Contact form. These are needed for the site to work and do not require consent.

We do not use advertising or social media tracking cookies.

How we protect your information

Our website is served over HTTPS. Form submissions are checked and sent by our hosting provider directly to our mailbox; the website does not keep a copy. Access to our mailbox and documents is limited to trustees and grant administrators using individual accounts.
